01 Who we are

Whitewater Intelligence LLC (“Whitewater,” “we,” “us,” or “our”) operates the Whitewater OS platform at whitewaterintelligence.com. We provide business operating system software for founder-led companies. Contact: hello@whitewaterintelligence.com.

02 What information we collect

Information you provide directly: your name, email address, and password when creating an account; your company name, size, and industry; the content you enter into the platform (tasks, projects, goals, meeting notes, pulse data); and your profile information and preferences.

Information collected automatically: log data (IP address, browser type, pages visited, timestamps); device information (operating system, screen size); usage data (features used, actions taken, session duration); and cookies and similar technologies.

Information from third parties: if you sign in via Google or another OAuth provider, we receive basic profile information (name, email) from that provider.

03 How we use your information

We use the information we collect to: provide, operate, and improve the Whitewater OS platform; authenticate your identity and manage your account; send transactional emails (account confirmations, password resets, notifications you’ve enabled); respond to support requests and communicate with you; analyze usage patterns to improve the product; and comply with legal obligations.

We do not sell your personal information. We do not use your data to train AI models.

04 How we share your information

We do not sell, rent, or trade your personal information to third parties. We may share information with: service providers who help us operate the platform (hosting, email delivery, analytics), under contractual data-protection obligations; your organization — data you enter is visible to other members of your organization within the platform, consistent with the role permissions you’ve been assigned; and law enforcement or regulators, when required by law or to protect our legal rights.

05 Data isolation & multi-tenant security

Whitewater OS is a multi-tenant platform. Each organization’s data is logically isolated from all other organizations using row-level security policies enforced at the database level. Users in one organization cannot access data from another organization.

06 Data retention

We retain your data for as long as your account is active. If you close your account, we will delete your personal data within 90 days, except where we are required to retain it for legal or compliance purposes.

07 Your rights

Depending on your location, you may have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data; object to or restrict certain processing; and data portability. 08 Cookies

We use cookies to keep you logged in and to understand how you use the platform. You can disable cookies in your browser settings, but some features may not work correctly if you do.

09 Security

We use industry-standard security practices, including encryption in transit (TLS), encryption at rest (AES-256), and role-based access controls. However, no system is completely secure. If you discover a security issue, please report it to hello@whitewaterintelligence.com.

10 Children’s privacy

Whitewater OS is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from minors.

11 Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice within the platform. Your continued use of Whitewater OS after changes take effect constitutes acceptance of the updated policy.
